Admin Training 8: Send Leave Summaries and Birthday Messages to Your Team (Email Only)

Team Notifications keep everyone up to date without opening the dashboard. Send a daily or weekly summary of who's off, and birthday messages.

Decide First

• How often: daily or weekly, on which days, at what time.
• Who it covers: everyone, or filtered by Locations, Departments or Labels.
• Who gets it: the email addresses it goes to.
• Quiet days: whether to send it when no one has upcoming leave.

Create a Daily or Weekly Summary

1. In the left-hand menu, under Team & Approval Flows, click Team Notifications.
2. Click New Notification and choose Daily/Weekly Notifications.
3. Enter a Notification Name and, optionally, filter who it includes.
4. Set the Frequency, Send on days, Time and Time zone.
5. Under Send via, choose Email and add the recipients. You can add several email addresses.
6. Choose how to Group leaves by, what to do If No Upcoming Leaves, and the Language.
7. Read the Summary, then click Create Notification.

Create a Birthday Message

1. Click New Notification and choose Birthday Notifications.
2. Enter a name and choose whether it applies to all users.
3. Set Send at, Send via and the language.
4. Choose whether to send on weekends and non-working days. If not, the message goes out on the next working day.
5. Optionally, add people who should get a 3-day heads-up.
6. Click Create Notification.

Check It Worked

The notification is listed on the Team Notifications page with its switch on.
