How Do I Connect Vacation Tracker to Zapier?

Zapier is an automation platform that connects apps to each other without code. With the Vacation Tracker Zapier integration, you can pass leave events from Vacation Tracker into the tools your team already uses (HRIS, payroll, project management, messaging, anything Zapier supports) so the right system updates automatically when someone books, edits, approves, or cancels a leave.

What You'll Need

An active Vacation Tracker account on the Core or Complete plan. The Zapier integration is included at no extra cost from our side.
A Zapier account. Zapier has its own free and paid tiers; the plan you pick on Zapier's side determines which features and how many Zaps you can run.

Steps to Connect

Sign in to your Zapier account at zapier.com/app/home and click Create to start a new Zap.
Add a Trigger step and search for Vacation Tracker.
Select the Vacation Tracker app, then pick the event you want to trigger your Zap (see the full list below).
Click Sign in. Zapier redirects you to log in with your Vacation Tracker account and approve access.
After signing in, finish configuring your trigger in Zapier and add the action you want (for example, create a record in BambooHR, post to a channel, or update a row in a sheet).
Test the Zap, then publish it. From now on, Zapier listens for the chosen Vacation Tracker event and runs your action automatically.

Available Triggers (Events)

Vacation Tracker sends the following leave events to Zapier. Each event can be the starting point for any Zap you build.

Leave Added: an Admin or Approver added a leave for an employee. The leave is automatically approved.
New Leave Request Created: an employee submitted a new leave request.
Leave Updated: a leave or leave request was edited, either by the employee or by an Admin / Approver.
Leave Request Approved: a request was approved by an Admin, an Approver, or automatically by policy.
Leave Request Denied: a request was denied by an Admin or Approver.
Leave Deleted: a leave or leave request was permanently deleted by an Admin or Approver.
Leave Cancelled: a leave or leave request was cancelled, either by the employee or by an Admin / Approver.

What each event includes

Every event Zapier receives carries the details it needs to feed other tools: the User's name and email, the Leave Type, the dates, the Approver's name and email (where applicable), and the Employee ID when one is set. That's enough for most HRIS, payroll, and time-tracking tools to find the right person and update them.

Triggers only, for now

The current Zapier integration is for events leaving Vacation Tracker (triggers). Zapier can't push actions back into Vacation Tracker yet (no "Add Leave from Zapier" yet). Two-way actions are on the Roadmap based on feedback.

Common pairings include HRIS and payroll systems like BambooHR, HiBob, Deel, Workday, and PeopleForce; messaging tools beyond Slack and Microsoft Teams (SMS, WhatsApp, Telegram); spreadsheets, calendars, and project management tools. Zapier's app directory lists everything that's compatible.

No. The integration is included on the Core and Complete plans at no additional cost. Your Zapier plan is separate and follows Zapier's own pricing for how many Zaps and tasks you run there.

Not yet. The first version is one direction only: Vacation Tracker sends events out, your Zap reacts. Actions like creating or approving a leave from inside Zapier are on the roadmap and will follow user feedback.
