How is PTO accrual calculated?
Divide your yearly PTO hours by the number of pay periods in a year. For example, 15 days of PTO is 120 hours (at 8 hours a day). Paid biweekly (26 pay periods), you earn 120 ÷ 26 = 4.62 hours each paycheck. Hourly employees usually earn a set amount per hour worked, such as 1 hour for every 30 hours.
How to calculate your PTO accrual
- Find your yearly PTO in hours: days × hours per day (15 × 8 = 120).
- Count your pay periods: weekly 52, biweekly 26, semimonthly 24, monthly 12.
- Divide: 120 ÷ 26 = 4.62 hours per paycheck. Then add your starting balance and subtract the hours you've used to get your balance on any date. The calculator does this, including caps.
PTO accrual per pay period (8-hour days)
The typical US company using Vacation Tracker gives 13 days of PTO a year (median, Leave Trends report). At 13 days, a biweekly employee earns exactly 4 hours per paycheck.
PTO accrual for hourly employees
Many employers give hourly staff a set amount of PTO per hour worked, for example 1 hour for every 30 hours. At 40 hours a week, that's 1.33 hours a week, or about 69 hours (8.7 days) a year. Sick leave rules differ by state, so check your state's leave laws.

Divide your yearly PTO hours by your pay periods. With 15 days (120 hours) paid biweekly, you accrue 120 ÷ 26 = 4.62 hours per paycheck. Semimonthly, it's 120 ÷ 24 = 5 hours.
Divide the PTO hours you earn by the hours you must work to earn them. At 1 hour per 30 hours worked, you earn 0.0333 hours per hour, so a 40-hour week earns 1.33 hours of PTO.
At 8 hours a day, 15 days is 120 hours. At 7.5 hours a day, it's 112.5 hours. Use the hours to days calculator above for other workday lengths.
A cap is the most PTO you can hold. Once you reach it, you stop accruing until you use some. Turn on the cap in the "How much PTO will I have on a date?" calculator to see when you'll hit it.
It depends on your employer's policy and, in some US states, the law. Enter last year's leftover hours as your starting balance.
