I tested 10 leave management tools to figure out which ones deliver on their promises. Some are lightweight and purpose-built. Others try to do everything (and charge you for features you'll never use).

This tool does one thing well. It tracks paid time off without forcing you to adopt a full HR suite.
The free plan supports unlimited users, though you'll hit feature limits. If your needs are basic, you won't pay anything. Paid plans add accruals, time off in lieu, probation periods, and blackout dates.
It integrates with Slack, Microsoft Teams, and Google Workspace, so your team can request leave without switching apps.
Full HR platforms that include leave tracking
These tools handle more than PTO. They're built for companies that need recruiting, payroll, and compensation planning in one place.
BambooHR starts at $250 per month (flat rate). It's positioned for bigger teams that want an all-in-one HR system. If you only need leave tracking, this is overkill.
Rippling combines HR, IT, and finance. It handles device management and runs full payroll. Pricing is hidden, and setup fees apply. This is for companies with complex needs, not teams looking for a simple leave tracker.
Gusto works well if you have lots of contractors. It offers full payroll service but uses a base fee plus per-user pricing. The cost adds up quickly compared to dedicated leave tools.
Factorial: Modular pricing for EU labor law compliance
Factorial starts at $8 per user per month. It's modular, so you pay more as you add features like payroll and expense management.
This tool makes sense if you're dealing with EU labor laws and want flexibility in what you pay for.
Time and attendance tools that also track leave
If you need scheduling and time tracking on top of PTO management, these tools combine both.
BuddyPunch is built for shift workers and hourly teams. It includes GPS tracking, job costing, and PIN or kiosk punch. Pricing is $19 per month base fee plus per-user charges.
Attendancebot works in Slack and Teams (like Vacation Tracker) but adds time tracking. If you need both attendance and leave management, this is worth checking out.
Tools built for UK and EU companies
Some tools are designed around specific labor laws, which matters if you're based in the UK or EU.
Timetastic is ideal for small UK or EU companies. It offers simple, visual calendar-based tracking with built-in compliance. Paid plans start at £1.50 per user per month.
Charlie HR targets UK SMBs with 10 to 200 employees. Pricing is a flat monthly fee based on team size.
LeaveBoard: Generous free plan with a user cap
LeaveBoard offers a free plan for up to nine users. If your team is larger, Vacation Tracker's unlimited free plan makes more sense.
LeaveBoard includes some HR features that Vacation Tracker skips, so it might fit if you need a bit more than pure leave tracking.
How to pick the right tool for your team
If your goal is simple leave tracking, pick a dedicated tool. Vacation Tracker is my top choice because it integrates with Slack and Teams, has a generous free plan, and doesn't bloat your workflow with features you don't need.
If you need more HR features (payroll, recruiting, compensation planning), then BambooHR, Rippling, or Gusto might fit. Just know you'll pay more and deal with longer setup times.
Always check if the tool integrates with Slack or Teams. Not all of them do, and that integration saves your team from app-switching fatigue.
For UK or EU companies, compliance matters. Timetastic and Charlie HR are built around local labor laws, so you won't have to configure everything manually.
If you manage shift workers or hourly teams, BuddyPunch or Attendancebot give you time tracking and leave management in one place.
Bottom line: match the tool to your needs. Don't pay for features you won't use.
