Vacation Tracker vs HR Partner: Which Leave Management Tool Actually Works Better
I'm comparing Vacation Tracker and HR Partner to help you figure out which one fits your team.
Watch the full breakdown below:
What Vacation Tracker Actually Does

Vacation Tracker works for teams of any size, but we're particularly strong for companies between 50 and 100 employees. We're especially useful for remote teams or companies with multiple locations because you can configure policies in ways most tools can't handle.
The core idea is simple: leave management should happen where you already work. Whether that's Slack, Microsoft Teams, or Google Workspace, people can request time off without switching apps. We also have mobile apps for iOS and Android, plus a web dashboard if you don't use those platforms.
I personally use it every day, and the real-time visibility is what makes it work. You get notifications every morning and at the start of each week showing who's off and when. No logging into dashboards, no hunting through email threads.
You get everything where you already work!

What HR Partner Actually Does
HR Partner is a full HR system, not just a leave tracker. They target small to mid-size teams (20 to 500 people) and they're based in Australia but serve companies across Australia, Europe, and North America.
They're aiming for that middle ground between spreadsheets and enterprise software. You get employee records, leave management, onboarding checklists, recruiting and applicant tracking, and performance reviews all in one system. For a growing business managing these tasks across email or spreadsheets, HR Partner consolidates everything.
Where Vacation Tracker Actually Excels

We focus on one thing: tracking PTO and leave. That focus lets us handle edge cases most tools ignore.
Our policies cover blackout dates, probation periods, leave entitlement based on seniority, toil (time off in lieu), multi-level approvals, and a bunch of other scenarios. Whatever makes your company's leave policy unique, Vacation Tracker can probably handle it. You won't need workarounds.
The daily and weekly notifications mean managers never get surprised by who's off. For smaller teams where one person handles leave management, this eliminates the constant stream of 'How much time do I have left?' questions. People can check their balance and request time off themselves.
The platform scales as you grow. Add new departments, locations, or policies and Vacation Tracker adapts. Adoption is easy too because people just type a command into their chat app to request leave or check their balance.
Where HR Partner Actually Excels
HR Partner gets consistently good reviews, and people specifically mention their support being excellent. They describe it as having enterprise functionality without enterprise pricing.
The main strength is covering the full HR lifecycle. You get employee records, leave management, onboarding checklists, recruiting and applicant tracking, performance reviews, and more. For a growing business moving off spreadsheets, this makes life much simpler.

They use flat/tiered pricing instead of per-user pricing, which isn't unheard of in this industry. As your team grows, the cost per person drops.
As far as HR systems go, HR Partner gets up and running faster than most enterprise options. The setup isn't complicated, and they include three implementation sessions with every plan.
Where Each Tool Falls Short
Vacation Tracker only does PTO and leave management. That's the flip side of our strength. We don't have employee records, recruiting, onboarding modules, or anything else you'd find in a full HR system. We have an open API and integrate with payroll software, but if you want to consolidate all HR systems into one platform, we're not the answer.
HR Partner has the opposite problem. They cover a wide range of features, which means their leave management system is good but not as deep as ours. We only focus on leave, so we handle more edge cases.
Another thing to consider: if you're a smaller team, HR Partner's flat pricing might actually cost more per user than a per-user agreement with someone else. That flat pricing makes sense for larger teams because it drives down the per-user cost.
Direct Side-by-Side Comparison
Pricing and Free Trials
Vacation Tracker starts at $2 per user per month and scales up to $4 per user per month for the top plan. After the trial, you can drop to a free plan if you don't want the paid features.
HR Partner starts with a 12-month discounted rate. After that, if you have 10 employees, it costs $104 per month. The price scales as your employee count grows, but it's not one-to-one.
Vacation Tracker has a 7-day free trial and a free plan option. HR Partner offers a 14-day trial without requiring a credit card.
Setup Time and Onboarding
Vacation Tracker takes less than a day to implement. You upload your users, configure your policies, and you're running. HR Partner takes longer because it's a full HR system, but you get three free onboarding calls to help.
Integrations
Vacation Tracker natively integrates with Slack, Microsoft Teams, and Google Workspace. We have mobile apps on iOS and Android, and we connect to ADP and Zapier. We just launched our MCP, so you can connect it to Claude or ChatGPT.
HR Partner has an open API and connects to Slack, Xero, Zapier, and different job board integrations. Both companies have apps on iOS and Android.

Support and Security
Vacation Tracker has live chat, a free onboarding call, and email support. HR Partner offers a dedicated account manager on their VIP plan, plus email and live chat support.
For security, Vacation Tracker has SOC 2 Type 2 certification and GDPR compliance. HR Partner is GDPR compliant, but I couldn't find a SOC 2 certification on their website.
Which One You Should Actually Pick
These are different tools for different problems.
If your company is ready to consolidate and you have scattered employee records, manual onboarding, or a disconnected recruiting process, and you want to fix all of that without paying enterprise prices, HR Partner makes sense.
If leave management is the specific problem you're solving right now, Vacation Tracker is the better option. It has deeper policy configuration and integrates natively into the apps you already use every day. It's also not expensive at $2 to $4 per user per month.
Both have free trials, so test them yourself. Try Vacation Tracker here or try HR Partner here.
