Best Leave Management Tools for Multi-Location Teams (2024 Rankings)
Managing leave across multiple locations isn't just harder than standard PTO tracking - it's a completely different problem. Every location has different public holidays, different leave laws, and potentially a different work week. A spreadsheet won't cut it.
I tested the top leave management platforms built for distributed teams to see which ones actually handle multi-location complexity well. Some are great for global teams, others are built specifically for European compliance, and a few are US-focused tools that solve a different problem entirely.
Watch the full breakdown here:
Why Multi-Location Leave Management Is Different
Running a company with 60+ employees across different countries creates management challenges that go beyond just tracking who's out. Each location brings its own public holiday calendar, leave laws, and work week structure. You can't solve this with a spreadsheet (trust me, people try).
I'm going to walk you through the best leave management tools for companies with multiple locations - whether that's across states, cities, or countries.
By the way, if you're US-based, skip to the US-specific section below because there are specialized tools that work hand-in-hand with standard leave management platforms.
1. Vacation Tracker - Best for Deep Platform Integration

Vacation Tracker is at the top because It's built specifically for distributed teams with features that are genuinely hard to match.
The platform runs natively inside Slack, Microsoft Teams, or Google Workspace, with a mobile app available too. If you use Slack, you can request leave or check your balance with a simple command. Managers get approval notifications right in the platform - no new tabs, no login credentials to remember. This makes adoption really easy.
Multi-location support is a first-class feature, not something buried in settings. You set up offices, assign country-specific holiday calendars, configure working days per location, and customize leave types. Everything can be tailored to each office or location.

Pricing starts at $2 per user per month and maxes out at $4 per user per month for the complete plan. You get an open API at any tier, plus integrations with ADP and Zapier so you can connect to basically anything.
The main gaps: no native integrations with HR systems like BambooHR, Gusto, or Rippling yet (you'd need to connect via Zapier or the API).
If those aren't deal-breakers, this is my default recommendation for multi-location teams. The combination of deep leave management policies stand out along with the team energy insights and genuine multi-country policies.
2. Calamari - Best Modular Option
Calamari is the most reviewed platform on this list with over 1,200 verified review
s on G2 or Capterra, averaging 4.7 out of 5.
It's a specialist tool with time tracking on one side and leave management on the other. You can buy them as separate modules, so you're not forced into features you don't need. They also offer core HR and performance modules if you want those.
For multi-location use, Calamari covers the basics well. You can configure multi-country absence policies, time zones, per-country public holiday calendars, and set everything up in four languages: English, Spanish, French, or Polish.
The trade-off: Calamari is intentionally not an HR system. If you want employee records, performance reviews, or onboarding tools all-in-one, look elsewhere.
3. Edays - Best Enterprise Option

If multi-location means multi-country at scale, Edays is the heavyweight choice. They serve 1,400 customers across 120+ countries in 25 languages.
Like Calamari, it's modular with absence management at its core. You can configure country-specific entitlements and per-country compliance rules. Their integrations list runs deep - Workday, SAP, Oracle, ADP, Sage, and Cornerstone On Demand.
The catch: pricing is quote-based, annual contracts are paid upfront, and there's no free trial (you can get a demo). This is really an enterprise procurement. If you're not at hundreds of employees, it's probably overkill. But if you're a multinational mid-market company wanting a tailored leave management tool that fits into your existing HR system, this could work well.
4. Absentify - Best for Microsoft 365

If your whole company lives inside Microsoft 365 (Teams or Outlook), Absentify integrates most deeply with that platform.
Multi-location is supported with per-region calendars and policies. Pricing is competitive, and the Teams-native experience means employees don't learn a new tool - they just request leave inside the Teams chat they use every day.
The tradeoff: if you don't use Microsoft Office, this won't work. There's no Slack-native equivalent. Pick Absentify if you're Microsoft 365-only and don't plan to scale beyond that.
5. Absence.io - Best for European Teams
Absence.io is

a German company with servers in Germany, SSL encrypted, and GDPR compliant by design.
For European HR buyers - especially in Germany, Austria, or Switzerland - this is a solid option. Their multi-location policies aren't as deep as some competitors we've covered, and the main tradeoff is that it's German-first. If you're not in that region, the platform might feel a bit foreign.
But if you're European and EU data residency matters for your company, Absence.io is worth considering.
6. Leaveboard - Best Value Pick

Leaveboard is the value option - one of the cheapest tools that's great for Slack. They have multi-country holiday calendars, but honestly, multi-location handling isn't quite as deep as Calamari or Vacation Tracker. There are fewer policy controls for locations.
If you have only a couple location differences, fine. But if you need to scale beyond that, you might hit limitations.
7. Day Off - Best Free Tier

Day Off has the most generous free tier with real multi-location support. They offer per-region calendars, native iOS and Android apps that are actually good, and Slack or Teams integrations on paid plans.
The trade-off: they're a newer brand, so their integrations list is smaller than competitors. Policy depth isn't as strong as Calamari or Vacation Tracker who've been around longer.
It's great if you're a smaller company just coming off spreadsheets and want something more official, but don't need all the policy depth of more established tools.
8. Leave Dates - Best Budget Option

Leave Dates has a polished UI at a remarkable price - currently about 75 cents per user per month (though pricing changes).
Multi-location works through their per-location section and team grouping abilities. It's not as configurable as Vacation Tracker, but for SMBs with straightforward policy requirements, it does exactly what you need.
If you want a clean, cheap, web-based leave tracker, Leave Dates is a solid choice.
US-Specific Tools: A Different Category

If you're US-based, everything above handles day-to-day PTO and leave management. But there's a completely separate category of tool you should know about.
Companies like Cocoon, Sparrow, and Tilt handle more complex leave situations: parental leave, medical leave, FMLA, and state-specific leave laws that vary across the US.
These aren't competitors to Vacation Tracker - they're complementary. A typical US company at scale uses something like Vacation Tracker for daily PTO and leave management. As you grow, tools like Cocoon, Sparrow, or Tilt remove the paperwork requirements for claims, state compliance, and payroll issues that come with these leave types.
If you operate in multiple US states and parental or medical leave is on your mind, look at these separately. But don't confuse them with general PTO and leave management platforms.
Final Takeaway
Trying to solve multi-location leave management with a spreadsheet doesn't work. You need to pick a tool that fits your company and your complexity requirements.
I've linked every tool we covered in this post. Many have free trials, so there's no harm in testing several at once. I hope this saved you at least a week of research.
