How to use it

  1. Add each office as a location: pick the country and, where it applies, the state, province or region.
  2. Tick the holidays that office observes and add your own company days.
  3. Add a second location to see the combined calendar, the comparison table and coverage gaps.
  4. Export each calendar to Outlook or Google Calendar, or copy a link that opens the same view.

Why holidays differ between your offices

National and regional holidays

Most countries set national public holidays, and many states, provinces and regions add their own. In the US, federal holidays apply across the country, and some states mark extra days, such as César Chávez Day in California. In Canada, Family Day is observed in some provinces and not others, and Quebec has Fête nationale (St-Jean-Baptiste Day) on June 24. Germany and Spain both have holidays that apply only in certain regions.

Observed dates

When a holiday falls on a weekend, many places move the day off to the nearest Friday or Monday. The tool shows both dates and counts the observed day as the day off.

Company days

Many companies add days of their own, like the day after Thanksgiving or a summer company day. These vary from one company to the next, so you add them yourself.

Planning tips for multi-location companies

Plan cover for partial-closure days

When one office is closed and another is open, customers and colleagues still expect answers. Decide ahead of time who covers shared inboxes, on-call rotations and client meetings on those days.

Announce the calendar early

Publishing next year's calendar in the fall gives people time to book travel, and gives managers time to plan around long weekends.

Decide how weekend holidays work

Write down whether a holiday that falls on a Saturday or Sunday moves to a weekday, and apply it the same way at every location.

Consider floating holidays

Some companies let employees swap a public holiday for a day that matters more to them. If you offer this, set how many floating days each person gets and how far ahead they request them.

Decide which calendar remote employees follow

People who work remotely, or report to an office in another state or country, need one clear rule: the holidays where they live, or those of the office they belong to. Write it down and apply it the same way for everyone.

Review the calendar every year

Holidays change. The US added Juneteenth as a federal holiday in 2021, and Canada added the National Day for Truth and Reconciliation for federally regulated workplaces the same year. Check each location's list before you publish next year's calendar.

Frequently asked questions

How do I make a holiday calendar for employees in different states or countries?

Add each office as a location, choose its country and region, and tick the holidays it observes. The builder combines them into one calendar that shows which days each office is closed. You can then export a calendar file for each office.

Do all offices have to observe the same holidays?

No. Many companies with offices in several places let each office follow its own local holidays. The builder shows where they differ so you can plan cover. Check the official sources for each location before you publish your calendar.

What happens when a holiday falls on a weekend?

In many places the day off moves to the nearest weekday, called the observed date. The builder shows both the actual and the observed date, and counts the observed date as the day off.

Can I add company holidays that aren't public holidays?

Yes. In each location, use Add a company day to add a single date or a date range with your own name, such as Day after Thanksgiving. Company days are included in the combined view and in the exports.

How do I add these holidays to Outlook or Google Calendar?

Download the .ics file for a location, or the combined file for all locations. In Outlook, import it from File › Open & Export › Import/Export. In Google Calendar, go to Settings › Import & export and import the file.

Holidays come from an open-source holiday database. Check official government sources before publishing your calendar.
