How Do I Request TOIL (Time Off in Lieu)/Comp Time?

Are you looking for extra days off? If you’ve worked overtime and are looking to turn them into extra days off, then Vacation Tracker is here for you! With TOIL, you can compensate overtime you worked with equivalent time off.

You can request TOIL using the following options:

• Using our Online Dashboard
• Using Vacation Tracker Integration – Slack
• Using Vacation Tracker Integration – Microsoft Teams

Dashboard

Log in to your online dashboard: https://app.vacationtracker.io/signin

On the left-hand side, click on Request Leave, and Request TOIL

3. Enter Request Details:

• Leave Type: click on the drop-down menu to select the leave type.
• Start and End Date: Enter the start and end date you worked the overtime

|| You can only request days in the past, today and future days. You must select the date you worked overtime, and the extra days will be added on top of your base quota. 

|| If you’d like to request a half-day or hourly TOIL, make sure to select Hourly TOIL and you’ll be able to choose the date and enter the start time and end time. 

• Reason: We’ve pre-filled a reason for you, but you can edit the reason or add more details

Click on Request Time Off in Lieu to submit your request

You’ll get a notification letting you know it has been requested

|| If approval is required, you’ll be notified via email once your Approver responds to the TOIL request. **

Slack

To request leave through Slack, please follow these steps:

Open your Slack app and type /Vacation in any Slack channel or direct message and press Enter

Once Vacation Tracker responds, Select the third option **Request TOIL **

3. Enter Request Details:

• Leave Type: click on the drop-down menu to select the leave type.
• Start and End Date: mark the start and end date you worked the overtime.

|| You can only request days from the past including today. You must select the date you worked overtime, and the extra days will be added on top of your base quota. 

|| If you’d like to request a half-day or hourly TOIL, make sure to select PTO (Half Day) as the leave type and you’ll be able to choose the date and enter the start time and end time. 

• Reason: We’ve pre-filled a reason for you, but you can edit the reason or add more details.

4. Once done, click on Send Request to submit your request

If approval is required, you’ll be notified via Slack notification once your Approver responds to the TOIL request.

Microsoft Teams

To request leave through MS Teams, please follow these steps:

1. On the left-hand side of your MS Teams click on Chat and open the Vacation Tracker chat by clicking on it

OR

at the top of your MS Teams window search "Vacation Tracker" in the search bar and select the app (make sure that you are within the Chat tab)

2. Type Request TOIL in the chatbot and press enter or click the send icon

You will get a response, and from the drop-down menu select the Leave Type you are requesting. Once you select the leave type, click Next

• Leave Type: click on the drop-down menu to select the leave type.
• Start and End Date: mark the start and end date you worked the overtime

5. Once done, click on Submit

|| f approval is required, you’ll be notified via the Vacation Tracker chatbot once your Approver has responded to the TOIL request. 

Additional Information:

When you request TOIL, our system will check if you’ve already requested these dates. If an overlap is detected, you’ll be asked to adjust your dates.

||| It’s important to be mindful of TOIL expiration dates set by your Admin(s). If your TOIL does expire, you’ll be sent a reminder via your integration's method of notification.
